TradeCaller Ltd ("TradeCaller", "we", "us", "our") is a limited company registered in England and Wales. We provide AI-powered receptionist services to trades and small businesses across the United Kingdom.
This Privacy Policy explains how we collect, use, store, and protect personal data in connection with our services, our website, and our clients' use of our platform. By using our website or services, you agree to the practices described in this policy.
FinCaller is a trading name of TradeCaller Ltd. This Privacy Policy covers both TradeCaller and FinCaller services.
2. What Data We Collect
Data collected through our website (tradecaller.co.uk):
Name and email address (when you book a demo or contact us)
Phone number and business details (when you complete our onboarding form)
Technical data automatically collected when you visit our website, including IP address, browser type, referring URLs, and pages visited — used solely to improve site performance and user experience

Data collected through our AI receptionist service on behalf of clients: When our AI agents answer calls on behalf of our clients, the following data may be collected from callers:
Full name
Phone number
Email address
Home or business address and postcode
General location
Details of their enquiry or requirements
Call transcripts and recordings
TradeCaller acts as a Data Processor for this data — we collect and process it on behalf of our clients (the Data Controllers) for the purpose of handling their inbound calls.
3. How We Use Your Data
Website enquiries and demo bookings:
To respond to your enquiry or arrange a demo call
To provide you with information about TradeCaller's services
To process your subscription if you become a client
To send you relevant updates about TradeCaller services where you have indicated an interest — you can opt out of any such communications at any time
Call data collected on behalf of clients:
To pass caller details to the relevant client business so they can follow up
To generate call summaries sent to the client via SMS or email
To store call transcripts for quality and audit purposes during the retention period
We do not sell, rent, or share personal data with third parties for marketing purposes.
4. Legal Basis for Processing
We process personal data under the following legal bases under UK GDPR:
Contract: To deliver our services to clients and fulfil our contractual obligations
Legitimate interests: To operate and improve our service, respond to enquiries, and maintain security

5. How Long We Keep Your Data
Data type
Call transcripts and caller details → 90 days from the date of the call
Demo enquiry and contact form data → 12 months from last contact
Client account data → Duration of the subscription plus 12 months after cancellation

After the relevant retention period, data is securely deleted. Clients may request earlier deletion at any time.
6. Who We Share Your Data With
We do not sell personal data to third parties. We share data only with the following trusted sub-processors who help us deliver our service:
Sub-processors
ElevenLabs: AI voice agent platform - stores call transcripts and audio (EU/EEA)
Twilio: Telephony provider - handles call routing and SMS delivery (EU/US (GDPR compliant))
Make.com: Automation platform - processes call data and triggers notifications (EU)
Cal.com: Demo booking and scheduling (EU -data stored on EU servers)
Stripe: Payment processing for subscriptions (EU/US (GDPR compliant)
Tally: Online form collection for client onboarding data (EU)
All sub-processors are contractually bound to handle data securely and in accordance with UK GDPR.
7. Your Rights
Under UK GDPR, you have the following rights regarding your personal data:
Right of access - you can request a copy of the data we hold about you
Right to rectification - you can ask us to correct inaccurate data
Right to erasure - you can ask us to delete your data
Right to restrict processing - you can ask us to limit how we use your data
Right to data portability - you can request your data in a portable format
Right to object - you can object to certain types of processing
Right to human review - if you believe you have been subject to automated decision-making, you can request a human review

Please note that SMS routing via Twilio may pass through US servers. This is covered under Twilio's Standard Contractual Clauses and is fully compliant with UK GDPR.
